Rental inquiry response templates: 12 copy-paste emails and texts for landlords

Published October 19, 2026 · General information for small landlords and property managers. This is not legal advice. Laws and local rules change, so check current law or ask a fair-housing attorney about your situation.

Quick answer

Reply to every rental inquiry the same way: thank them, restate the address, rent, and available date, share your written rental criteria, and give one clear next step, like two showing times or a booking link. Use the same templates for everyone, in the order inquiries arrive. Before you post the listing itself, run it through our free fair housing ad checker.

How to use these templates

Replace everything in {curly braces} with your real details before sending. If you don't know a detail yet, leave it out rather than guess. Every template describes the property and the process, never the kind of person you want, because fair housing rules cover what you say to prospects, not only what's in the ad (42 U.S.C. § 3604, 24 CFR 100.75). South Carolina has a matching law (S.C. Code Title 31, Chapter 21).

3. Pre-screen questions (ask everyone the same ones)

Keep pre-screen questions about the rental and your written criteria. Ask every prospect the same questions. Don't ask about children, disability, religion, national origin, or any other protected characteristic.

Template 3 · Email or text
Hi {name}, a few quick questions so we can set up your tour: 1. When would you like to move in? 2. Have you had a chance to read our rental criteria ({criteria link})? 3. Do you plan to have pets? (Assistance animals are not pets, and we handle those requests separately.) 4. Which of these showing times works best: {time option 1} or {time option 2}?

4–6. Scheduling, confirming, and reminding

Offer two specific times so it's easy to say yes. Confirm in writing and send a short reminder.

Template 4 · Email, offer two showing times

Hi {name}, sorry we missed you at {address} today. Want to pick a new time? {booking link}
Template 8 · Email, after the showing: how to apply
Hi {name}, thanks for touring {address}. If you'd like to apply, here's the application: {application link}. The application fee is {application fee}, and our rental criteria are here: {criteria link}. We review complete applications in the order we receive them.
Template 9 · Email or text, no longer available
Hi {name}, thanks for your interest in {address}. It has been leased. Would you like to hear about similar units we have coming up?

10–12. Answers to questions that need extra care

These come up often. Answer them the same way every time, and fill in your real policy instead of guessing. Our fair housing listing checklist covers the background.

Template 10 · Pets and assistance animals
Our pet policy for {address} is: {your pet policy}. Assistance animals are not pets. We handle them as reasonable accommodation requests under fair housing law, separately from our pet policy. If you need an accommodation, just let us know.
Template 11 · "Do you accept housing vouchers?"
Thanks for asking. Our policy for {address} is: {your voucher policy}. Our income and screening criteria are here: {criteria link}, and they apply the same way to every applicant.
Template 12 · Accessibility and accommodation requests
We consider reasonable accommodation and modification requests. Tell us what you need and we'll follow up. You can reach us at {email} or {phone}. About the unit: {accessibility facts, e.g. ground floor, number of entry steps, elevator}.

Reasonable accommodation requests, including assistance animals, are covered by the Fair Housing Act and HUD's regulation (24 CFR 100.204). In South Carolina, the SC Human Affairs Commission handles fair housing complaints.

Keep replies consistent

FAQ

How fast should I reply to a rental inquiry?

As soon as you reasonably can, ideally the same day. Consistency matters as much as speed: reply to every inquiry in the order it arrived, with the same information and the same next step.

Can I ask prospects questions before a showing?

Yes, as long as you ask everyone the same questions and they relate to the rental and your written criteria, like move-in date, pets, and showing times. Don't ask about protected characteristics such as children, disability, religion, or national origin.

How should I answer "Do you accept Section 8?" in South Carolina?

South Carolina has no statewide source-of-income protection, but some localities and HUD-funded properties have their own rules. Check what applies to your property, decide your policy, and give every prospect the same answer, with income criteria stated neutrally.

Should I reply by text or email?

Reply on the channel the prospect used, and keep the content the same either way. Save the templates in your phone and email so every prospect gets the same facts.

Are these templates legal advice?

No. They are general information and starting points. Laws and local rules change, so check current law or ask a fair-housing attorney about your situation.
